Importing Batch Contacts into the CRM

Follow these steps to import batch contacts into the CRM and keep your data clean and organized.

1. Cleaning up an exported list

Export your client contact list from QuickBooks (or any other software where you store client information) as a CSV or Excel file to prepare for importing into AccountGroove.


Before uploading, clean up your list to ensure First Name, Last Name, Email, etc. are in Row 1 before exporting.

ℹ️ Note: Exported list must be a .CSV File and with at least a First Name, Last Name, Email to import correctly


2. Migrating a list of contacts into the CRM

Navigate to the Contacts section in the left sidebar, then click on the 'Smart Lists' tab in the top navigation bar to view and manage your contact segments

3. Importing Contacts

Click the 'Import Contacts' button located in the toolbar above the contacts table to begin importing your contact list.

4. Importing Contact vs Opportunities

Opportunities represent the actual deals with an assigned value. Contacts are associated with those opportunities as the point of contact.


Here, we will be uploading the contacts. Click on "Next"

5. Uploading the .CSV file

Click to upload or drag and drop your CSV file to begin the migration.

6. Create contacts

If this is a new list, click on Create Contacts then click on "Next"

7. Review Fields

Review all of the fields and select the ones that best align with your list and the provided examples.


If there are fields that do not map to the CRM, select Don’t import data for those unmapped columns.

8. Creating a Smartlist

Smartlists allow you to segment and filter your leads for workflows, lookups, and automations. When importing new clients or marketing lists, always assign a Smart List to simplify filtering later on.


Check the box and then give your list a custom name or date.

10. Checking on your list for errors:

Before moving forward, review your recent bulk actions to check for any import errors or failed records.


This view shows the status of each bulk upload, including whether it completed successfully, who initiated it, and when it was processed. Use this step to confirm your list was imported correctly before applying workflows, Smart Lists, or automations.

11. Remedy Errors

If errors are detected, click the Errors tab to review the failed records.


This view shows the reason for each error and the recommended steps to fix it.


Update your CSV based on the guidance provided, then re-upload the corrected file to complete the import successfully.

ℹ️ Note: You can upload the same edited list with all the contacts. The system will automatically manage duplicated contacts.


12. Revert / Delete Upload

If you need to undo an import, locate the upload in Bulk Actions, click the three-dot menu, and select Revert to roll back the upload. This will remove the imported records and allow you to correct your file before re-uploading.
