Integrate QuickBooks Online with AccountGroove
Note: To ensure all Services Templates are connected correctly inside of QBO make sure that before adding services to a proposal:
- Create the Service Template
- Map the Service Template to QBO in the Integrations Tab
- Add to a Proposal / Proposal Template
This ensures that all services are communicating the right information between platforms before proposal's are being connected.
1. Click on Connect Apps
Find the QuickBooks app and click Configure.
You’ll be prompted to log in to your QuickBooks account.
Note: This connection is used to reconcile your deposits with invoices, not your clients’ QuickBooks Online accounts.

2. Mapping Accounts / Clients / Services
In three simple steps, you’ll be able to map your accounts, clients, and services to what already exists in your QBO account.

3. Connect Accounts
1. Bank Account for Paid Out Deposits
- This is your actual bank account where money is deposited after payments are successfully processed.
2. Expense Account for Processing Fees
- An expense account used to track payment processing fees (credit card and ACH fees).
3. Holding Account for In-Transit Payments
- A temporary holding account (usually Undeposited Funds) that tracks payments before they reach your bank.
Once finished click on "Save" to link these accounts.

4. Linking Clients
Match your AccountGroove clients to their corresponding customers in QuickBooks Online. Select the correct QuickBooks customer for each client from the dropdown, then click Link Clients and Save.
Note: When a new proposal is accepted, AccountGroove will automatically create a client in QuickBooks Online if one does not already exist.

5. Linking Services
Match your AccountGroove service templates to the corresponding products and services in QuickBooks Online.
Select the correct QuickBooks item for each service from the dropdown, then click Save.

With these steps complete, your AccountGroove and QuickBooks integration is fully configured, ensuring clean reconciliation, accurate reporting, and less manual work going forward.
