Productize Your Services Into Templates

Service Templates are the foundation of strong, scalable proposals. Each template should be treated like a productized service. It should be repeatable, clearly defined, and easy to attach to future proposals.

This guide walks you through:

  • Creating a service template
  • Configuring billing settings
  • Using short and long descriptions
  • Adding a template to a proposal
  • Hiding service pricing for cleaner presentation


  1. Click on Service

In the left sidebar, navigate to Templates and click Service. This opens the Service Templates list where you can view all existing templates or create new ones.

Depending on your AccountGroove subscription, our team will upload either general (Core) or niche-specific service templates (Scale / Pro) to your account.


  1. Click on Create Template or Edit Template

To create a new service from scratch, click Create Template in the top-right corner. To modify an existing service, click the three-dot menu (⋮) next to any template and select Edit Template.



  1. Name Your Service

Fill in the naming fields at the top of the template editor:

  • Service (Required — client facing): The name shown on proposals and invoices. Make it clear, benefit-focused, and easy for clients to understand.
  • Internal Name (Optional — non client facing): For internal use only — not visible to clients. Use it to standardize services across tiers, workflows, reporting, and integrations.
  • Short Description (Optional — client facing): A brief summary that collapses a longer Service Description.


  1. Add a Service Description

Use the rich-text editor to clearly outline everything included in the service. Ideal for detailing scope, deliverables, reporting, and support expectations — especially for higher-tier or bundled services.

💡 Use the Short Description field if you have many services with long descriptions — it keeps proposals streamlined by collapsing the full text.




  1. Set the Billing Schedule

Under Payment Schedule, choose how the service will be billed:

  • Recurring: Service billed regularly at the selected cadence (e.g., monthly or quarterly).
  • One-Time: Single charge for a one-off project or onboarding.
  • One-Time with Deposit: A portion collected up front; the remaining balance invoiced later on completion.


  1. Set Billing Frequency

Under Billing Every, set how often invoices are sent and payments collected. Options: Weekly, Biweekly, Monthly, Bimonthly, Quarterly, Semi-annually, and Annually.

💡 Match frequency to the work and client cash flow. Turn on automatic payment collection for recurring schedules to reduce late payments and admin.


  1. Configure Bill Start and End

Under Bill Start, choose when billing begins:

  • On Acceptance: Billing begins when the client accepts the proposal.
  • Proposal Start: Billing begins on the proposal start date.
  • Specific Date: Pick an exact calendar date.

ℹ️ To bill on the first of the month, set the service start to a Specific Date (e.g. March 1), or set the proposal start to that date and use Proposal Start.



  1. Set the Invoice Type

Under Invoice Type, choose how billing is collected:

  • Automatic: AccountGroove bills and collects payment for you. Best for recurring services and clients with a payment method on file.
  • Manual: You create the invoice and trigger collection from the Invoicing tab. Use when you need control over timing or milestone-based billing.

💡 Use Automatic for predictable recurring revenue and lower churn. Use Manual when billing terms are custom or require client approval.


  1. Hide Service Amount (Optional)

Toggle Hide Service Amount to hide line-item prices so the client only sees the grand total for each billing schedule (e.g., monthly + one-time).

💡 Proposals presenting a single bundled price rather than detailed line-item fees tend to convert better.


  1. Click Save Edit

Click Save Edit at the bottom of the modal. The template will now appear in your Service Templates list and be available to add to proposals.


  1. Add the Service Template to a Proposal

Navigate to Proposals, open or create a proposal, and on the Services step click + Add Service Template. Use Edit Option Details to customise the option title for tiered proposals.

ℹ️ Use Team Templates for your own services or Industry Templates for AccountGroove pre-built options.


  1. Review the Completed Proposal

The Services Summary panel updates in real time with all line items, billing dates, invoice types, and total USD. Click Save & Next to proceed to Payments.
