Connecting Your Workflows with Zapier
This guide walks you through connecting AccountGroove to Zapier, selecting an AccountGroove trigger, and testing it so Zapier can pull real proposal data.
Before you start: Make sure you have at least one accepted proposal in AccountGroove, otherwise the test step may return no data.
1. Open your Zaps
From Zapier Home, click Zaps to view existing Zaps or create a new one.

2. Start the Trigger setup
Click Trigger to choose what event will start your Zap.

3. Search for AccountGroove
In the app search field, type AccountGroove and select it.

4. Connect your AccountGroove profile
Click Select to sign in and connect your AccountGroove profile to Zapier.

5. Select the correct AccountGroove connection
If you are already signed in, choose your AccountGroove Profile connection (not Zapier logins).

6. Choose your AccountGroove trigger event
Select the trigger event that should start your Zap.

7. Continue to testing
Click Continue to move to the test step.

8. Test the trigger
Click Test trigger to load sample proposals from AccountGroove.

9. Select the most recent accepted proposal
Note: You need an accepted proposal in AccountGroove or no information will populate.

10. Confirm the record and continue
Review the fields Zapier pulled, then click Continue with Selected Record.

Optional: Add Gmail steps (attachments or email notifications)
After connecting AccountGroove, you can also pull emails from support@accountgroove.com to extract proposal or invoice attachments, or send a summary email to your team.
11. Browse for another app
Click Browse all… to select the next Zapier app.

12. Select Gmail
Choose Gmail as the app for the next step.

13. Choose a Gmail event
Pick the Gmail event that fits what you want to do (search email, find messages, etc.).

14. Option 1: Extract attachments by file name
AccountGroove emails include Proposal and Invoice receipt attachments.
Proposal: P-001234
Invoice Attachment: INV-001234

- Important: Add a Delay for 1 minute to allow AccountGroove emails time to arrive before Zapier searches Gmail.

16. Option 2: Send an email to your team
Send a message with the extracted proposal details to a team member.

17. Connect Gmail
Click Connect Gmail… to authorize Zapier to send or read emails from the chosen Gmail account.

18. Set the "To" recipient
Enter the email address that should receive the message.

19. Set the "From" sender
Choose which connected Gmail account should send the email.

20. Add a clear subject line
Use a subject that makes the message easy to scan and search later.

21. Add dynamic fields to the email body
Insert dynamic values so each email includes the correct proposal details automatically.

22. Insert the Client Company field
Select Client Company from the dynamic fields list.

23. Add any additional text
Add context for your team, such as what changed or what action to take next.

24. Wait for the step to finish loading
Zapier will process the step and load available fields. Give it a moment if it shows loading.
25. Select the Service Name field
Click into the Service Name field where you want dynamic data inserted.

26. Insert Various parts of the Proposal
Type what you are looking to connect (or select the matching dynamic field token) to insert the label value.

27. Test the step
Click Test step to confirm the step runs successfully and returns the expected data, you will have an email in your mail box with the updated information from the proposal.
If you updated fields or mappings, click Retest step to pull fresh results.
